Trade Show Build Up
Check your exhibitors manual carefully and note:
1) Dates of build up.
This may well vary according to the type of stand you have ordered. Self build (Space Only) stand holders can sometimes gain access to their stand a day before those who have ordered Shell Scheme stands.
2) Times of build up.
Make a note of the time that you can gain access to your stand and the time that you must finish. Some venues allow access to the halls 24 hours a day others a lot less. You must build and dress your stand within the times allowed.
The organizer will often have no control over these times. The venue lays down the rules and many will charge the organizer hundreds even thousands of dollars per hour for exceeding their time allocations.
3) Badges and Passes.
You may need vehicle passes to gain access onto site and contractors passes to gain access to the halls. Make sure you know what is required and that you have enough for everyone who will be working on your stand.
4) Access to the hall.
Some shows allow vehicles into the hall for build up but this is very rare... you can imagine the damage they can do to the floor covering. Check your floor plan to see which is the nearest access door to your stand and check with the organizer that this door can be used. Try to park your vehicle as close to this door as you can. A great deal of patience may be required at this point because all of your fellow exhibitors will be trying to do the same.
You will save yourself a great deal of pain and grief if you bring a trolley and sack barrow to help you move your gear from your vehicle to your stand. If you lend it out make sure you know exactly who has borrowed it or you may well loose it.
If you need a forklift to offload any heavy items you must arrange this with the organizer prior to the show.
