Planning Your Event
Shell scheme extras (night sheets, magazine racks, counter units. plants etc.).
All of these extras can be sourced from the same people that built the shell scheme booths or from the furniture hire contractors. These are the little extras that will put the finishing touches to your stand.
Plant and flower displays really add a nice touch and I think that natural is far preferable to artificial.
If you have a shell scheme booth you can hire night sheets to give you a little more security and hide your display from the prying eyes of your competitors. You will need to leave your keys with someone so that the cleaners can gain access to your booth.
Badges, tickets and passes. You will find this information in the exhibitors manual. There will most likely be at least one form to complete for you to order:
1) Contractors Passes - you will need these to gain access to your stand for you, your staff and any contractors you may have working on your stand.
2) Car Park Passes - self explanatory.
3) Exhibitor Badges / Passes - For you and your staff to gain access to the hall during the show. If you have different staff working on different days and any temporary staff remember to allow for these.
4) Free Visitor Tickets (VIP Passes) - These are for you to invite your customers and prospects to the show. Use them to make sure your show is profitable. See the chapter on Publicity for more details.
Advertising in show guide. Most show guides feature a standard listing for every exhibitor. This takes the form of your contact details, stand number and a description of what you will be showing on your stand.
This is an important part of what you are paying for!
I emphasize this because the majority of exhibitors I have dealt with over the years at best spend very little time over this and at worst (the majority) don’t bother even sending in the form. See the chapter on Publicity for more details.
You may also have the option of paying a little extra for an enhanced entry... maybe featuring your logo. This is well worth the little extra to stand out on the page.
Lastly is a display advert in the guide itself. If you go for this option don’t just run your usual magazine ad but design it to attract visitors to your stand.
